2 to 3 months before
Confirm the programme and pay the 30% deposit. Collect dietary needs, rooming lists and flight details. Decide on welcome gifts, branding and any meeting room needs.
4 weeks before
Final guest list, transfer schedule and seating plans for dinners. Share a simple guest guide: dress code, weather, currency and a local contact on WhatsApp.
